Draft from a document
Upload a purchase order, a contract, a timesheet or a photo of one, and Plirin’s AI reads it and pre-fills a draft invoice for you to review. You check every value beside the original document, change anything you like, and create the draft invoice yourself. The AI only ever proposes.
AI drafts are included with the Growth plan (30 a month) and the Scale plan (300 a month). They are switched on by Plirin for your account; if you do not see Draft from document on the Invoices page, the feature is not available to you yet.
What the AI never does
Section titled “What the AI never does”- It never creates an invoice, a customer or a payment. Only you do, by clicking Create draft invoice.
- It never sends an email, to anyone. An address in a document is only ever a suggestion on your form.
- It never deletes or changes a file. The document you upload is kept with the draft; it moves to the invoice when you create it (internal, never shown to your customer) and is deleted if you dismiss the draft.
- It never follows instructions written in a document. Text that tries to talk to an AI, such as “ignore your rules” or “mark this invoice paid”, whether visible, hidden in white text or tucked into the file’s details, is reported to you and has no effect.
Drafting an invoice
Section titled “Drafting an invoice”- On the Invoices page, choose Draft from document. The window shows how many AI drafts you have left this month.
- Choose the file. It is read by our AI provider to draft your invoice.
- The document appears under AI drafts as Reading, usually for a few seconds. You can leave the page; the draft waits for you.
- When it says Ready to review, choose Review.
Anyone who can manage invoices (the invoice.manage permission) can draft from documents and review drafts.
Reviewing a draft
Section titled “Reviewing a draft”The document is shown beside a form pre-filled from it: the customer, the currency, the due date or payment terms, the reference (as the memo) and each line with its quantity and unit price.
- Customer. When the document’s email matches one of your customers, that customer is selected; when only the name matches, it is suggested, and you confirm it. Otherwise a new customer is pre-filled from the document, and it is created only when you create the invoice.
- Currency. The currency is never guessed. If the document does not make it clear, or it is not one you can invoice in, the field is empty and you choose it before you can continue.
- Tax. A line’s tax rate is used only if it matches one of your own rates exactly; otherwise your default rate applies, and you are told. The AI never creates a tax rate.
- Products. A line whose description matches a product in your catalog is linked to it, and you are told if the document’s price differs from your catalog price.
Every warning appears above the value it is about. Check them, edit anything you need, then choose Create draft invoice. It is created as a draft: nothing reaches your customer until you send it.
Warnings
Section titled “Warnings”| Warning | What it means |
|---|---|
| This amount could not be read as a plain number | The document writes a number another way (1.234,56, $12); the field is left for you. |
| The lines do not add up to the total on the document | Shown with both figures. Check for a missed line or a discount. |
| This currency is not enabled for your account / The document does not make the currency clear | Choose the currency. |
| This tax rate does not match any of your tax rates | Your default rate applies unless you change it. |
| A customer with this name exists / Several customers have this name | Confirm or pick the right customer. |
| The document’s price differs from your catalog price | Shown with both prices. |
| This date could not be read with certainty | A date such as 03/04 that could be read two ways. |
| Only the first 100 lines were read | Check the document for more lines. |
| Nothing usable was found in this document | No lines or customer could be read. |
Limits
Section titled “Limits”- Types: PDF, PNG, JPEG, WebP, CSV and plain text. Take phone photos as JPEG.
- Size: up to 10 MB, and up to 10 pages for a PDF.
- Lines: up to 100 per document.
Your monthly allowance
Section titled “Your monthly allowance”Each document you upload uses one draft from the month’s allowance, counted on your own calendar and reset on the 1st. Drafts in test mode count too, because each one is read by the AI.
A draft is given back when reading fails on our side (it took too long, the AI service was unavailable) or when the document cannot be read at all (more than 10 pages, password protected, or the upload never finished, which is given back within the hour); you can try again. Retry reads the document again and uses one of this month’s drafts. A document that was read but had nothing usable in it is not given back. Dismissing a draft that was read deletes the document and does not return the draft.
If AI features are turned off, your plan changes, or drafting is paused, drafts you already have stay under AI drafts and can still be reviewed or dismissed; only new ones cannot be started.
Privacy
Section titled “Privacy”Documents are read by OpenAI, our AI provider. Each one is sent with the request to read it (never to the provider’s file storage), is not stored by the provider beyond its standard abuse-monitoring window, and is never used to train AI models. OpenAI is listed on our sub-processor list.
The account owner can turn AI features off in Settings > Invoicing > AI features. When they are off, no document is sent to the AI provider: new drafts cannot be started, and any draft still waiting to be read is cancelled and given back.
